Export multiple client calendars into one Excel hours report
Three clients, three color-coded calendars, one Friday export—if you check the boxes carefully. Selection mistakes are confidentiality mistakes, not “oops” moments.

Three color-coded clients
A marketer ends a week supporting three retainers. Leadership wants a private utilization snapshot. None of the clients should see each other’s event titles, ever.
Select-all is a leak
Export-all is easy and wrong. Export-nothing forces manual mashups. Multi-select without a privacy plan leaks names across relationships you spent years building.
Decide the audience first
Either export one combined file for your eyes only, or export each client separately for delivery. Use the Calendar column when a private combined file is intentional—and never accidental.

Only you → multi-select may be fine. Any client → one calendar per export.
Uncheck personal and sales calendars
If it is not billable delivery for that audience, it should not be selected.
Preview titles before export
Skim for another client’s name before the share sheet appears.
Export and label the file clearly
Names like 2026-03-acme-hours.xlsx prevent sending the wrong attachment at speed.
Multi-select is a privilege, not a default

My rule is blunt so I can follow it tired: combined exports stay on my device or in my bookkeeping folder. Anything that leaves to Client A was generated from Client A’s calendar alone.
Using the Calendar column well

Personal calendars are not “probably fine”
Kids’ events, medical appointments, and job interviews do not belong in a utilization file. Uncheck them every time. Muscle memory on “select all” is how freelancers overshare and then explain themselves in emails they hate writing.
A personal rule that saved me once
I almost emailed Client A a combined week that still had Client B’s strategy offsite in the title list. Preview caught it, not virtue. Combined files never leave my machine now. Delivery files are always single-calendar exports.
